TRANSPARENT & ACCESSIBLE POLICIES

Our Policies

Coastal Canines Policies

Our policies help us provide a safe, respectful and consistent experience for every dog, client, team member and host location.

Scope of Service

Coastal Canines provides cosmetic and hygienic, sedation-free teeth cleaning for dogs. Our service focuses on removing visible buildup and surface staining from accessible areas of the teeth while the dog remains awake.
We are not a veterinary clinic, and our service does not replace veterinary care, examinations or professionally recommended procedures. We encourage every client to maintain regular oral health checks with their veterinarian.

Consultation

Every appointment begins with a consultation to determine whether the dog appears comfortable and cooperative enough for our service.
Not every dog will be a suitable candidate. We may decline to begin or may stop an appointment at any time if the dog shows significant stress, discomfort, unsafe behaviour or anything that should be assessed by a veterinarian.
The dog’s comfort and safety will always come before completing the appointment.

Deposits and Payment

A deposit will always be required to reserve an appointment. The deposit is applied toward the appointment total unless otherwise stated during booking.
Remaining balances are due at the appointment. Applicable taxes will be added to all services.
Prices are based on the service booked and are displayed during online booking. Additional fees will never be added without the client’s knowledge and agreement.

Cancellations and Rescheduling

Vancouver & Lower Mainland

Appointments may be cancelled or rescheduled up to 24 hours before the scheduled start time.
Deposits may become non-refundable when an appointment is cancelled with less than 24 hours’ notice or when the client does not attend the appointment.
If our team determines during the consultation that a dog is not a suitable candidate, the deposit will be refunded.
Coastal Canines may occasionally need to reschedule an appointment due to travel interruptions, illness, weather, staffing or circumstances beyond our control. If this happens, clients will be contacted as soon as possible and offered a new appointment or an applicable refund.

Interior BC

Appointments are nonrefundable and nontransferable. This small cost helps us to cover rising travel costs and bring our service to more communities the province.
If our team determines during the consultation that a dog is not a suitable candidate, the deposit will be held.

Late Arrivals

Appointments are scheduled closely to respect the time of every client and host location. Clients who arrive late may receive a shortened appointment or may need to reschedule.
A late arrival that cannot be accommodated may be treated as a late cancellation.

Pickup Times

Additionally, any pickup over 10 minutes late may be charged an additional 50.00$ as a late pickup fee. We run a tight schedule, and while we appreciate when our clients are prompt and on time for pickups and drop offs, a short 10 minutes can affect our entire day.

Appointment Forms

A new consent and intake form must be completed for every appointment, even if the dog has previously visited Coastal Canines.
Clients are responsible for providing complete and accurate information about their dog, including known sensitivities, physical limitations, behavioural concerns and anything else that could affect the appointment.

Behaviour and Safety

Clients must tell us in advance if their dog has a history of biting, snapping, extreme fear, guarding or difficulty being handled.
Coastal Canines may decline or discontinue service when a dog’s behaviour creates a safety concern. We do not use force to complete an appointment.

Results

Every dog is different, and results will vary depending on cooperation, the amount and location of visible buildup, tooth positioning and the length of time since the dog’s previous cleaning.
We do not guarantee that all visible buildup or staining can be removed. Areas that cannot be reached comfortably and safely will be left alone and charted accurately.

Veterinary Referrals

If our team notices something outside the cosmetic scope of our service, we may stop the appointment and recommend that the client contact their veterinarian.
Any questions concerning pain, odour, bleeding, loose or damaged teeth, swelling, eating changes or overall oral health should be directed to a licensed veterinarian.

Photos and Marketing

Before-and-after photographs may be taken for appointment records. Photographs will only be used publicly for educational or promotional purposes when permission has been provided.
Clients may withdraw permission for future public use by contacting Coastal Canines. This does not affect material that was lawfully published before permission was withdrawn.

Respectful Conduct

We are committed to maintaining a respectful environment. Abusive, threatening, discriminatory or unsafe conduct toward our team, host-location staff or other clients will not be accepted and may result in cancellation or refusal of future service.
